Stage 2

Since March 2021, the second stage of the migration to Microsoft 365 services has begun, which includes the migration of file services. This means transferring data from home disks I:, shared disk S:, and some other network drives to OneDrive and SharePoint.

OneDrive

OneDrive is a service that allows you to upload your personal files to cloud storage. With this service, you can access your files from all your devices connected to the Internet, including your private computer, tablet or smartphone.

The default storage capacity will be set to 25 GB.

SharePoint

SharePoint is a platform for web applications and shared file storage. At AMU, this platform will be used primarily by employees and teachers, for example to share files within workplaces and departments.

The default storage capacity will be set to 25 GB.

Migration plan

A substantial part of the migration of file services, especially home disks I: and shared disks, will take place in the months of April to June. All other work related to the migration of file services should be completed by September 2021.

File services migration will include

  1. Users' home disks (disk I:).
  2. Shared disks (eg shared disk S:).
  3. Network drives of some departments (eg NAMU).
  4. Network drives required to run network applications.

Detailed schedule

  • March 22, 2021 - Beginning of a gradual migration of disk I: and shared disks *
  • July 1, 2021 - disabling disks I: for writing
  • September 1, 2021 - shutdown of disks I:
  • September 30, 2021 - Completion of Stage 2 migration

* The migration will take place individually, and therefore the date is only indicative.

Migration of home disks I: and shared disks

Students and teachers who do not use school computers will copy their data from disk I: to OneDrive themselv according to the instructions provided from IT department.

Local staff who use school computers will be assisted in the migration of data from disks I: individually by local administrators. The migration will take place together with the installation of the OneDrive client on the user's station.

Simultaneously with the migration of home disks I: the migration of shared data (eg disk S:) will also take place. The migration of this data will always take place in cooperation with the person responsible for the data.

Recommended data storage concept

The Microsoft 365 environment offers several storage systems. Depending on the purpose of each data, it will be necessary to decide which system will be most suitable for storing it. The boundaries between the systems are not sharp, so it will be necessary to consult with the owners (or administrators) of those data.

OneDrive

Personal storage of the user.

The data stored here is not important for AMU, but only for the user. For example, OneDrive should not contain data that an employee would pass on to his or her successor on a given agenda. If an employee has data that exceeds his or her scope, he or she should store it in the appropriate SharePoint.

The user can access his data on his work and private computer, a mobile device and through a website.

Data in OneDrive will not be backed up on AMU resources, their protection will be ensured only by standard M365 mechanisms (deleted files in trash for 90 days, file version history).

Teams in Teams

Space and storage for operational cooperation of users.

Active work is done on the data stored here, but its final results and outputs should be saved to the appropriate SharePoint.

The user can access the data on his work and private computer, mobile device and through the website.

Data in Teams will not be backed up on AMU resources, their protection will be ensured only by standard M365 mechanisms (deleted files in trash for 90 days, file version history).

SharePoint

Space and storage for work results, project outputs, data archive.

SharePoints will be created for departments, teams and projects as needed. Every SharePoint should have its own administrator, a responsible employee who will understand the stored data.

The user can access the data on his work and private computer, mobile device and through the website.

In addition to the standard M365 mechanisms, data in SharePoint will also be backed up to AMU servers.

Windows Share on local AMU servers

High-speed storage available only from the AMU internal network.

Classic shared disks that offer high data access speeds but are not available outside the AMU computer network, not even through websites. Especially suitable for very large files or specific file work scenarios. They will be created only on request in justified cases.

Data in Windows Share will be backed up to AMU servers.
